Why am I unable to send email via other university, company or mail hosting provider mail servers (Port 25 block)

AT&T Internet Services (AT&TIS) is taking positive steps to help combat junk email and spam. In addition to network upgrades, free spam filtering and anti-virus software, AT&TIS is implementing outbound email SMTP port controls to ensure that its network is as reliable as possible for our Members.

As announced in the September 2004 Member newsletters, AT&TIS began filtering direct outgoing email connections using Port 25 (SMTP) to non-AT&TIS/Yahoo mail servers from Members using dynamic High Speed Internet and Dialup connections. Port 25 filters are widely used by many ISPs to combat junk email and spam from mis-configured and virus-infected computers.

AT&TIS Members using AT&TIS or Yahoo! mail servers for outgoing email are not impacted by this filter. Incoming email connections are also not affected.
Members using a private company, university or hosting provider mail server will not be able to send outgoing email from dynamic High Speed Internet and Dialup connections until one of the following actions are taken:

    1. Contact your mail hosting provider for information about using Port 587 for sending authenticated outgoing email. Since December 1998, Port 587 has been the Internet standard (RFC2476) port for authenticated email submission for mail clients and is supported by most major mail hosting providers.
    2. Contact your mail hosting provider for information about using other alternative access methods to connect to their mail server, such as VPN, Web mail or Outlook Web Access to send outgoing email.
    3. AT&TIS Members may send outgoing mail messages through AT&TIS mail servers, even if they use other email domains in their mail address, by converting their Outgoing mail (SMTP) to use AT&T mail servers. Members should not change their Incoming mail server (POP3/IMAP).

The SMTP Port 25 filter does not affect Members using Web mail to any mail provider, VPN connections to a private company or university mail server, dedicated (e.g. T1/T3 or Frame-Relay) or "static" IP addresses.

How to setup a vacation message

Be SURE that you are not on any mailing lists before you do this. If you are, when the mailing list sends you a message, your vacation message will reply, which will cause the mailing list to send a reply, setting up an infinite loop which will literally place tens of thousands of email messages in your inbox.

    Open Internet Explorer
    Go to www.icmailbox.com
Login in with your full email address: user@domain.com
Go to the pulldown menu and select "Change Vacation Message"
    Enter your vacation message.
This message will be automatically emailed to anyone who sends you mail.
When you return from your vacation, go back into this same location, and remove the text of the vacation message to stop sending out the vacation message.

People are not getting my vacation message.

The mail server will send each email address a vacation message once, storing the original email address that a message was sent from in the vacation recipients file. That file has to be cleared when you setup a new vacation message, otherwise the email addresses in the list will prevent a second vacation message from being sent to the same person. This is to prevent infinite loops of messages bouncing between two email addresses.

    EMail is Undeliverable

    a) Some mail servers try to deliver mail for up to 4 days before giving up. The problem with this is “timely communication”. For business critical messages, it is important that you know that a message did not go through, often the same business day if possible.
    b) Some mail servers are now grey-listing. They deny the first attempt to send mail (since spammers usually only try once), thus requiring your server to try to deliver the mail again, putting added load on the mail server. If you don’t try again within a specific time period (usually less than 20 minutes) it “forgets” about you, the timer resets, and you can never get your mail through. So we have to set our retries to relatively short periods.
    c) Attempting to redeliver mail over and over again puts a heavy load on the sending mail server, so we don’t want to have a large number of retries before we give up either.
    d) Some mail services used by users are really designed for personal use instead of business use and tend to have more problems than commercial accounts. These types of accounts include aol, hotmail, yahoo, and google.

So it’s a delicate balance between trying to deliver the mail, giving up on dead mail servers that aren’t responding, covering those servers that are grey listed, and keeping the server load and bandwidth at a reasonable level. We try to optimize how things work but the way things are right now, fixing one usually causes problems in a different area.

    Mail Server Timeout Problems

    If you are having trouble

Try changing your email timeouts to something longer than 1 minute. If you are receiving large files and it takes longer than 1 minute to receive them, outlook gives up and you never get the message.

In outlook, tools, email accounts, view/change accounts, click next, select an account, click on change, then “more settings”, advanced, and change the server timeouts from 1 minute to 5 minutes.

    Administrators: Create an Email Account

Open up a web browser and go to www.icmailbox.com (internet explorer)
Login with your email address and password
Click on Web Admin in the upper right corner
    Click on Manage users
Click the Add button on the bottom of the page
Under UserID, enter the person’s email address , without the @mydomain.com
    Type in their full name
    Enter their password twice
Click the Allow Password Change box
And then click the save button on the bottom of the screen

    Tuning the antispam mail filter

You will need an account to log into the mail filter system. If you do not have one, please contact us and we will set one up for you.

    Teaching the Mail Filter

You can tune the anti-spam mail filter by going to internet explorer and going to mf.icmailbox.com, selecting “MailScanner” and logging in with your email address user@domain.com and your password.

This will show you what was blocked (in light and dark pink) and what was let through. You can click on Reports, then Message Operations, and you can tag the round buttons messages as good (Ham) or bad (Spam) and then click the “Learn” button. And it will get better and better.

    Releasing a blocked message

Select Quarantine, and the date of the messages you want to look at. Click on the [ ] bracket to see an individual message. Near the bottom of the message is a checkbox to release the message, delete it, and you can teach the system (Learn as ham (good) or spam (bad). Select what you want to do, and when you are done click the submit button.

Full documentation for using the anti-spam system can be found here

    Setup your dialup account

If you are using Window 98:

    1. Double click on My Computer and then select "Dial Up Networking".
    2. Click Make New Connection
    3. Type in a name for the connection, such as "Integral Dialup"
    4. Select a device (your modem)
    5. Enter the phone number closest to the location you are dialing from. For a list of dialup numbers, click on the Access Numbers at the left, or click here.
    6. Click Finish
    7. To dial up to the internet, you would now click on "Integral Dialup"
    8. Enter the username that you were given by Integral. All usernames start with "5891"
    9. Enter your password
    10. If you would like for the system to keep your username and password information so that you don't have to enter it all the time, click the checkbox marked "Save Password". Note, if other people have access to your computer, clicking this box will enable them to use your dialup account without having to know the password.
    11. Click on connect, and away you go!

Find a Local Dialup Access Number

To get a local access number, Click here.

Setup a DNS Server on your Windows PC

Typically, you should use your Internet Line providers DNS servers for your client PC settings. For example, if XO Communications provides a DSL line to you, you should use their DNS servers for setting up your PC's.

ORSC Public Access DNS Nameservers http://support.open-rsc.org/.servers/

You can freely use any of these servers instead of your ISP's nameservers if you want to be able to see ALL the domain names on the net, not just the ones in the US Government controlled nameservers. You will, of course be able to see all the "old" domain names like .com, but you'll also be able to see all the ORSC new top level domains, too.

    Create a Website

Creating a web site can be as easy as creating a word processing document. There are many different programs available today to help both new and experienced users to create a web site. We at Integral have used many different tools over the years, from Microsoft FrontPage, Adobe GoLive, Macromedia Dreamweaver, Macromedia Flash, and raw HTML coding. Any of these tools are sufficient to create a web site. If you are a beginning user, try out Microsoft FrontPage. It has many tools and easy to use wizards which make it a snap to create some nice starter web sites. More advanced users should definitely check out Macromedia's Flash. The advanced animation and scripting features are becoming a defacto standard on the web. Finally, Integral's web servers are set to use the default.htm or default.asp documents by default for serving up web pages. We can set your site up to use index.htm or index.html as well, just let us know. If you are having problems with your site not displaying your home page, it may be because your start page is not named default.htm.

Use FTP to update your web site

FTP is not enabled for your website by default. If you would like to use FTP to update your web site, please email us at skwok[at]integralcorp.com. Once your FTP account is setup, you can use a program like WS_FTP (available for download at www.ipswitch.com) to transfer your completed web site to our web servers. You will be issued a name and password when your FTP site is setup, just enter your web site domain name - www.yourcompany.com, and then your username and password, and you will be able to transfer your site to our web servers. You can use any FTP program, such as WS_FTP to upload your website to our web servers. Integral's FTP Server is located at: ftp.integralcorp.com (65.127.124.25). In most cases, your username will be your domain name (mycompany.com) and your password is something that we issue to you when you email us (as described earlier in this paragraph).

I'm being told I have a virus from someone I never sent a message to!

Most viruses today pretend to be from someone else. Hence, when a virus detection program catches it, it emails the wrong person back telling them they have a virus - making it much harder to track down the sender of the virus and to tell them that they have a virus. You probably don't have a virus, Integral's mail server scans all incoming and outgoing email before it ever gets to the person you are sending it to.

How to change your Email program to the new icmailbox.com mail server

The following sample code shows how to send an email from a form. This code should be in your .asp webpage that is processed when a user submits a form.

How to get off of AOL's Blocked List & Setup an AOL Feedback Loop

    Feedback Loop Information
When an AOL member clicks "this is spam" for a piece of email sent from one of your IPs, this is considered a "complaint". If you are having difficulty with the number of complaints you are receiving a feedback loop would benefit you. Once you have requested a feedback loop you will be notified when a member clicks "this is spam". The email sent to you from SCOMP@aol.net will contain the complete email and header information. Due to our member privacy policy we cannot include the email address that it was originally sent to. You can sign up at the Feedback Loop Request Form. Below are some suggestions on how the feedback loop can help you.

Making the most of the feedback loop

    Customize your email.
We suggest using custom email headers or a custom remove link in the email to help you determine what part of your member base may have subscribed in error.

What to do with the information

    Mailing lists

We suggest removing members from your list who have marked the mail as spam. If they continue to receive the email and mark it as spam it will continue to generate complaints.

    Network Security

Detecting and stopping sources of spam on your network is crucial. These sources can stem from viruses or problems with network security.

When you must have this information.
If you have submitted a request for the whitelist, using the feedback loop is a requirement for approval. This will assure us that you are aware of complaints against your email and that you are taking steps to correct them.

We hope that this site will be useful to you. Please feel free to e-mail us if you have any questions or comments about this page.

    AOL Open Mail Access

E-mail Client Setup | More On Open Access | Keyword: Open Mail Access

AOL e-mail can be sent and received using other e-mail applications by setting up a connection to AOL's e-mail servers. Setting up access to the servers is relatively simple, and the settings are similar for most e-mail applications.

The incoming e-mail server is an IMAP server. You will need to ensure that your e-mail application supports the IMAP protocol and you will have to select IMAP at some point during the setup process.

The outgoing e-mail server is an SMTP server. The SMTP server requires authentication, and you will have to select this feature at some point during the setup process. Using an authenticated SMTP server means that in order to send e-mail you must log in the SMTP server with a user name and password. The user name and password are the same as your AOL screen name and password. In addition, you need to change the outgoing mail (SMTP) port number to 587.

    Incoming e-mail server address: imap.aol.com.

    Outgoing e-mail server address: smtp.aol.com.

We hope that this site will be useful to you. Please feel free to e-mail us if you have any questions or comments about this page.

Move out Outlook Email Name Cache

Do you miss the convenience of Outlook automatically completing people's names as you begin to type them on your new computer? Are you upgrading to a new computer and don't want to lose all the names stored in your Outlook AutoComplete feature? Wouldn't it be nice if Outlook installed on your new computer just "remembered" the names and filled them in for you?

Copy the names in AutoComplete to another computer

Important You must exit Outlook before starting the following procedure. The names will be included in AutoComplete when you restart Outlook.

    1. On the computer with the saved AutoComplete names, go to drive:\Documents and Settings\user name\Application Data\Microsoft\Outlook.

Note Depending on your file settings, this folder might be hidden. To view the files in this folder, do one of the following:

    ShowMicrosoft Windows XP
    1. Click Start, and then click My Computer.
    2. On the Tools menu, click Folder Options.
    3. Click the View tab, and then, under Advanced settings, under Hidden files and folders, click Show hidden files and folders.

    ShowMicrosoft Windows 2000
    1. Double-click My Computer on your desktop.
    2. On the Tools menu, click Folder Options.
    3. Click the View tab, and then click Show hidden files and folders.
    2. Right-click profile name.nk2, and then click Copy.

Tip You can copy the file to removable media, such as a floppy disk or a CD, and then copy the file to the correct location on the other computer. Or you can attach the file to an e-mail message and send the message to yourself. On the new computer, open the attachment in Outlook, and then save it to the correct location.

    3. On the computer where you want to populate the AutoComplete feature, copy the file to drive:\Documents and Settings\user name\Application Data\Microsoft\Outlook.
    4. If the Outlook user profile name is different on the computer where you are moving the .nk2 file, you must rename the file with the same Outlook user profile name after you copy it to the correct folder. For example, if you move Kim Akers.nk2 from the original computer with an Outlook user profile name of Kim Akers, and you copy the Kim Akers.nk2 file to the new computer, you must rename it with the Outlook profile name being used on the new computer.
    5. When prompted about replacing the existing file, click Yes.
    6. Open Outlook to view changes.
